Privacy Policy

1. Information We Collect

When you submit a membership application: name, email address, affiliation, a self-introduction, a description of your AI-related work, and a CV (PDF). Optional: title, LinkedIn or personal website, additional notes.

Consent record: the timestamp at which you ticked the consent checkbox and the version number of the wording you agreed to. The version is bumped whenever the policy materially changes, so we can trace which wording each member agreed to.

When you visit this site: IP address and server access logs.

2. Purposes of Processing

• To review your membership application and verify your standing.
• To send notices about gatherings, intake, and community activity.
• To operate, secure, and improve the website.

3. Retention Period

Membership applications: retained for up to five years after review, after which the data is destroyed by a secure method.

Member records: retained for the duration of membership. Upon withdrawal, records are destroyed without delay, except where retention is required by law for the period set out in the relevant statute.

Private questions, answers, feedback, unsupported requests and team preference changes are stored. Authorised Cortiq administrators can review this content to improve the service. Team notes are shared within your organisation. You can delete your review conversations and their feedback from the review workspace. Review content follows the membership retention policy above; request withdrawal-related deletion through Cortiq. Do not enter passwords, access tokens or other secrets. Recognisable credential patterns are rejected before saving.

When the AI assistant is enabled and you submit a question, the question, recent private conversation, saved review preferences and relevant research evidence are processed by OpenAI to answer it. Team notes are not sent. OpenAI response storage is disabled in the API request; this is not a promise of zero provider retention.

4. Sharing with Third Parties

Cortiq does not share your personal information with third parties without your consent, except where required or permitted by law.

5. Sub-processors

To operate the service, Cortiq entrusts the processing of personal information to the following providers.

• Vercel Inc. Hosting the website, serving traffic, and running the serverless function that receives membership applications; access logs may include IP address. Vercel Web Analytics provides aggregate, cookieless pageview metrics; IP addresses are hashed and not stored, and no individual visitor is identified.
• Resend, Inc. Sending application notification and confirmation emails. Application contents and the CV PDF are processed during email delivery.
• Supabase Inc. Storing member records (name, email, affiliation, consent metadata) and handling unsubscribe requests. Data is held in a Seoul-region database.

6. Your Rights

You may request access to, correction of, deletion of, or restriction on the processing of your personal information at any time. Email contact@cortiq.so and we will respond without delay.

Unsubscribe: every Cortiq mailing carries a one-time unsubscribe link in the footer. Clicking the link cancels delivery immediately - no further steps required.
